Records Supervisor Job Description

Responsible for:
•The operational efficiency of the file room
•Relationships with staff
•Directing and setting goals and prioritizing tasks for the unit
•Team building and training of the employees
•Resolution of conflict
•Relationships with outside vendors
•Monitoring the efforts and work of the records staff
•Work as a team member to accomplish assigned task
•Analysis of records series and designing a plan of action to incorporate them into the file room and operational retention recommendations
•Following company guidelines and implementing records retention for the region
•making suggestions for system and procedure improvements
•Providing training for records staff as needed
•Preparing monthly reports for the records activities and quantities of activities and provide to the assigned manager
•File and retrieve records as needed
•Administering control of records during check-out by tracking down traded files, update the check-out tables as assigned

Skills Required:
• Experience Records and information Management theory, principles and practices
• Excellent communication skills to deal directly with stakeholders and user groups in remote locations
• Experienced in performing business process analysis and making decisions about records creation capture, control, storage and disposition
• Experienced in records retention processes, procedure and application of regulatory restrains for records
• Effectively communicate of tasks both verbally and written
• Effectively communicate with stakeholders and company staff in verbal and written form
• Project management experience is helpful
• Excellent organizational skills
• Experience in formulating and document records policy and procedure
• Monitoring records systems and organizational changes with a view to identifying significant impact in a records context
• Identifying the benefits and/or risks associated with adopting information management solutions, components or procedure
• Excellent customer service experience and focus is a must

Educational Requirements:
College degree + 5 years of experience in records management

Experience:
Oil and gas experience preferred
