Job Description
Job Description: Responsible for coordinating and communicating all the Company’s asset delivery schedules. Also tracks and reports product inventory. Interprets and administers company policies and procedures as delegated by management. Ensures the plans and performance of the various functions within the organization meet or exceed management expectations.
• Work very closely with Marketing Department to keep up with Company’s open position, which includes additional or deleted volume(s) that impacts the scheduling process.
• Prepare monthly receipt and delivery schedules for Company’s assets, which also include the tracking of inventory in various pipeline systems and advising marketing of the company’s position on each pipeline.
• Prepare monthly nomination letters to customers notifying of our intended schedule.
• Verify all pipeline statements for actual movement versus scheduled volumes.
• Review exchange statement positions for all buy/sell contracts and advising departments of necessary changes to the schedule to keep them in balance.
• Communicate with both internal departments and external customers to keep them advised of any updates, corrections or changes as deemed necessary.
• Prepare worksheets to analyze volumes for comparison purposes to assist in monthly scheduling process, which may also include maps, charts or graphs.
• Update reports for various departments as required. Assist marketing and managers with any special projects or requests as needed.
• Provide direct support to Upstream Segment Marketing Reps, ensure lease supply contracts are documented, reviewed, approved and recorded in the accounting systems in a comprehensive, accurate and timely manner.
• Interact with marketer to collect, input and audit lease data information for new lease activity or changes to existing leases including purchaser, operator and/or price changes.
• Understand up-stream economics in order to compile economic data on new or changes to leases in the region.
• Interact with producers to handle request made for information concerning their business.
• Maintain contract attachments and contract pricing in the system as needed on a timely basis.
• Interface with accounting, tax and division order departments to aid the flow of information between departments as needed.
• Contact field operations and dispatch personnel to communicate and coordinate new changes to leases and other business ventures.
• Audit monthly final up-stream region margin report for pricing and contract discrepancies.
• Work with appropriate state agencies to process lease forms and ensure accurate reporting.
Job Requirements:
• Bachelor of Science degree in Accounting or Business preferred or equivalent work experience.
• Two (2) to five (5) years of administrative experience with emphasis in Contracts, Marketing, Accounting or Operations.
• Three (3) years of Crude Oil experience with emphasis in scheduling or pipeline operations preferred.
• Must have familiarity with mainframe applications and knowledge of PC based computer applications.
• Able to demonstrate team behavior and must be willing to promote a team-oriented environment.
• Able to demonstrate ability to be very detail oriented in tasks; able to depend upon to plan and organize work effectively and ensure its completion and to meet all productivity requirements.
• Able to demonstrate reliability by arriving to work on time.
• Demonstrated ability to improve or maintain positive internal and external customer relationships.
• Some travel may be required.
• Must be able to read and write the English language, perform basic mathematical calculations and learn to interpret and comprehend company policies, procedures, safety instructions, and other like documents used in an energy industry environment.
• Good analytical, problem solving, and decision making skills.
• Excellent use of standard software applications such as Microsoft Word and Excel.
• Good interpersonal, verbal, and written communication skills.
